This Privacy Policy explains how Rhythm Send ("Rhythm Send", "we", "us", or "our") collects, uses, discloses, and protects information when you use our website and outreach automation platform (the "Service").

If you are using the Service on behalf of an organization, your organization may have its own policies governing how it uses the Service and the data it uploads. In that case, we act as a service provider/processor for your organization in connection with that data.

Information We Collect

Account and profile information. When you create an account, we collect information such as your email address, name, authentication details, and organization/team membership information.

Prospect and lead data. The Service helps you discover and manage business prospects. You (or automated features you enable) may import, generate, or store business contact data and related information, such as names, business email addresses, websites, company details, notes, and outreach status.

Email content and communications metadata. We process the content you draft and send through the Service (e.g., subjects, bodies, templates, and personalization variables), along with delivery metadata (e.g., sent time, delivery status, and provider message identifiers). Depending on your configuration, the Service may also record events such as opens, clicks, bounces, complaints, and replies.

Usage and device information. We may collect information about how the Service is used, such as pages visited, features used, logs, and diagnostic information, including IP address and browser/device characteristics.

Cookies and similar technologies. We use cookies and local storage primarily to provide core functionality (for example, authentication and user preferences like theme settings). We may also use similar technologies in outbound emails (such as tracking pixels or tagged links) if you enable or use features that record open or click events.

Google API Limited Use Disclosure

Depending on your configuration, Rhythm Send may use Google APIs to send outreach emails and detect lead replies on your behalf.

Our use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Specifically, we only access your Google account to:

  • Send emails you have explicitly drafted or scheduled using our automation sequences.
  • Read metadata and message identifiers from email threads initiated by our Service to detect if a recipient has responded, allowing the Service to automatically cease further automated follow-ups.

We do not scan your entire inbox, we do not store emails unrelated to our outreach sequences, and we do not use your Google data for any purposes other than the automated outreach functionality you have explicitly configured.

How We Use Information

We use information to:

  • Provide, maintain, and improve the Service (including core outreach workflows).
  • Authenticate users and manage accounts, teams, and access controls.
  • Send emails on your behalf and process delivery, reply, and suppression events.
  • Power AI-assisted features you choose to use (e.g., drafting or personalization).
  • Monitor, prevent, and investigate fraud, abuse, and security incidents.
  • Communicate with you about the Service, including updates and support.

How We Share Information

We may share information as follows:

  • Service providers. We use vendors to host and operate the Service and related infrastructure (for example, database/hosting providers, email delivery providers, and AI model providers). These providers may process information on our behalf to deliver their services.
  • Within your organization. If you are part of a team/organization, other authorized users in your organization may be able to view and manage information you add to the Service.
  • Legal and safety. We may disclose information to comply with law, enforce our terms, or protect the rights, property, and safety of Rhythm Send, our users, or others.
  • Business transfers. We may share or transfer information in connection with a merger, acquisition, financing, or sale of assets.

Data Retention

We retain information for as long as necessary to provide the Service and for legitimate business purposes, such as compliance, dispute resolution, and security. You can delete certain data within the Service, and you may request account deletion, subject to legal and operational requirements.

Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect information. No security measures are perfect, and we cannot guarantee absolute security.

Your Choices and Rights

Depending on where you live, you may have rights regarding your personal information, such as access, correction, deletion, objection, or portability. If you are using the Service through an organization, please direct requests relating to prospect/lead data to your organization first.

International Transfers

We may process and store information in countries other than your own. Where required, we take steps designed to provide appropriate safeguards for cross-border transfers.

Children

The Service is not directed to children, and we do not knowingly collect personal information from children under 13 (or the age required by local law).

Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above, and may provide additional notice as required by law.
